New State AI Rule: What You Need to Know
Florida's new AI rule for Florida College System institutions (Rule 6A-14.0719) took effect October 20, 2026, with colleges expected to meet its requirements in the near future. The rule addresses responsible AI use, academic integrity, approved tools, privacy, parental notification for enrolled minors, and AI literacy.
FSW is actively preparing for these requirements. We're developing a new Board policy, updating College procedures and syllabus guidance, reviewing approved AI tools and features, and establishing processes for parental notification. Additional information and resources will be shared as this work progresses.

What Should You Do Now?
-
All employees: Continue following existing College procedures for AI use, including requirements for approved tools and protecting College information. Take note of AI tools and features used in your department, including those embedded in existing software.
-
Faculty: As you prepare for spring, clearly communicate when and how students may use AI on graded assignments. Review the AI features in your course materials and technology, and use the updated syllabus language.
FSW already has a strong foundation of AI resources, policies, and practices. Our goal is to build on that foundation while supporting responsible innovation, student learning, and effective use of AI across the College.

Frequently Asked Questions
Does FSW already have an AI policy? What will change?
Yes. FSW already addresses AI use through its College Operating Procedures (COP), academic integrity policies, and institutional guidance. The new state rule requires an additional Board of Trustees policy provisions and related updates. Another update will be made available once that policy is updated.
Does the new rule prohibit, restrict, or require the use of AI?
The rule does not establish a general ban on AI nor require its use. Instead, it requires FSW to identify approved AI tools and their permitted uses, protect sensitive information, address academic integrity, and support AI literacy.
Faculty and staff can continue using AI in accordance with applicable FSW policies and guidelines.
Which AI tools can I use?
Any AI tool used for used for college purposes must go through FSW's technology review and approval process, including tools that are free.
Approval may depend on the particular product, account, and intended use. For example, a tool may be appropriate for brainstorming or drafting general content but not for working with sensitive institutional data.
A short list of approved tools can be found here and a more extensive list here.
What if I want to use a tool that isn't approved?
Submit the tool through FSW's technology review process before adopting it for college use. This applies to free tools as well as paid products.
What about AI features built into software we already use?
Many familiar applications, including word processors, meeting platforms, and learning tools, now contain AI features.
FSW is reviewing these capabilities as part of its approved-tool inventory. Employees should follow institutional guidance about which features and uses are authorized, particularly when sensitive information is involved.
Do the rules require faculty and staff to disclose AI use?
The new rule does not require faculty or staff to disclose every instance of AI use.
However, employees and students must follow any applicable institutional, instructional, or professional requirements for acknowledging or documenting AI assistance.
Can students use AI on graded assignments?
Students may use AI to work on graded assignments or assessments only when their instructor explicitly permits it.
Faculty should clearly communicate if and how students can use AI in a course or on a specific assignment.
Do instructors have to notify parents of minors?
No. The rule requires FSW to address parent notification when an enrolled minor will directly use an AI instructional tool in a course or program.
FSW is working through how to implement this requirement while complying with FERPA. Faculty should await institutional guidance rather than developing individual notification procedures.
