Purpose Statement

To establish standards governing advertising and promotional distribution to Florida SouthWestern State College students, faculty, and staff, and to ensure that advertising conducted through College resources or facilities supports sanctioned College activities.

Guidelines

This procedure applies to all FSW students, FSW employees, and external parties seeking to distribute advertising or promotional materials to students, faculty, or staff, whether full- or part-time, temporary, or permanent.

Procedures

External Parties (Non-Indigenous Organizations)

Non-indigenous organizations shall not use the College as a medium for distributing advertising and other promotional materials; however, the President or a designee may approve distribution in special instances. This does not preclude the use by professors of free instructional materials containing limited or incidental advertising. Such free materials should be curriculum-related and non-sectarian in nature.

Student contact information will not be given out to external parties for purposes of advertising.

College-Sanctioned Activities

Advertising or promotion of Florida SouthWestern State College events or activities using College facilities, communication channels, or resources is permitted only for College-sanctioned activities, as defined in COP 09-0103: College Sanctioned and Non-Sanctioned Camps, Clinics, and Activities Administered by College Employees.

Approved on-campus promotional channels include:

  • Designated campus bulletin boards
  • College digital signage
  • Official College electronic communications
  • Official College websites and social media channels
  • Media and public relations activities conducted in accordance with COP 02-0201: Media Coverage – Solicitation

Media and public relations efforts may be developed with the Office of Marketing & Digital Strategies and executed by Communications & External Affairs.

Any use of the College’s name, logos, marks, or seal must comply with COP 08-0106: Use of College Name, Marks, and Seal, and all marketing materials must adhere to the College’s brand guidelines located in the FSW Knowledge Base.

Flyers or other physical signage may only be posted on designated bulletin boards or approved posting locations. Materials may not be taped or affixed to walls, windows, doors, or other surfaces not intended for postings. The hosting employee or department is responsible for removing promotional materials once the advertised information has expired.
