How do I request a design or project from the Office of Marketing & Strategic Communications?
Simple! Just complete a Marketing Ticket or email us at marketing@fsw.edu!
How far in advance should I request a design or project?
Please note that the following are guidelines – there are occasions where our team may have several Presidential projects preventing completion during the requested timeframe. Conversely, we understand that some of your projects are high priority! If you would like special consideration for expedited completion, please email kailee.mateika@fsw.edu.
- Simple flyers, updates to existing designs, or similar requests: 2 weeks
- Press releases: 4-6 weeks (some publications require significant advance notice for inclusion)
- Large scale projects: 6+ weeks
Can I create my own designs?

Yes! Here are the guidelines for creating FSW branded designs. All designs that include an FSW logo must be approved by OMSC.
- Delivered, Branded Canva Templates: Using delivered branded templates in the FSW Brand Kit from Canva is the preferred method for you to create your own designs that meet FSW’s brand guidelines.
- DIY or Non-Branded Canva Templates Plus the FSW Brand Kit: You can use any Canva templates or start from scratch within Canva to create your designs. Once you begin your design, the easiest way to ensure you stay within brand guidelines is to use the Brand tab to adjust all colors and fonts.
- Designs Outside of Canva: The guidelines below should help you (or a licensed vendor) create a personalized design that represents your program and the institution’s identity. Feel free to reach out to marketing@fsw.edu with any questions about the guidelines or if you would like guidance while creating your design. Once you have finalized your design, it must be submitted through a Marketing Ticket so we can ensure the design promotes your program and the college in the best light!
Please note there are specific guidelines for the creation of a logo outlined within the guidelines.
Can I create non-branded content in Canva?

All content created using FSW Canva licenses must be branded and intended for college-related purposes, as the licenses are funded by the college. The only exception is for faculty and instructional designers creating course content, which does not require branding or OMSC approval. To request access to the course content team, please email marketing@fsw.edu.
How do I request access to Canva?
FSW has purchased several institutional licenses for the professional version of Canva, including the FSW Brand Kit. You can submit a ticket to request access to a license.
Where do I get imagery to use on my designs?
It is preferred to use college provided or original images or photos which can be found in Canva. Images sourced from stock websites such as Getty Images, iStock, AI, or Shutterstock must be open use or purchased for use at the correct level. If you have questions about the use of an image or design, please don’t hesitate to contact us!
How do I purchase promotional items with the college logo/an approved college-affiliated logo (e.g. school logos)?
Auxiliary Services manages the approval of vendors to create promotional items (including paper products) using the college logo or an approved college-affiliated logo. You can find more about this process at www.fsw.edu/licensing.
Can I open a social media account affiliated with the college?
Due to Florida’s broad public records laws, FSW has contracted with a company to archive college-affiliated social media accounts. Because there is a cost associated with this service, we must be judicious in creating college-affiliated social media accounts. If you are interested in starting an account, please email marketing@fsw.edu to set up a meeting to discuss your needs.
Can you send me a logo to use on my design or to send to a vendor to use on a design?
Vendors approved to use the college logo through the Auxiliary licensing program already have the FSW logos and will work with Auxiliary Services to obtain any other approved logos. If you are personally designing something adhering to the Brand Guidelines, you can find high-resolution PNGs or JPEGs within Canva for your use.
What is the EEO? Do I have to use it?
The EEO is the college’s equity statement. Guidelines on how the equity statement must be used can be found at www.fsw.edu/marketing/eeo. Questions can be directed to marketing@fsw.edu.
What’s so different about press releases? Can’t I write my own?
While they may seem simple, a lot of thought and procedure go into writing press releases. Not only must press releases be written in AP style, but they must also be very straightforward and to the point. Several of our team members have special training in drafting press releases that will attract the attention of remarkably busy members of the press.
