Requirements
Load on IT - IT needs to write the query, make the file, exchange the file, automate the exchange. SSO is simple, mostly on us to set up. That's basically it. Presence runs training, tech support, updates, continuous training, reporting, all of it. Just "hook it up". We even have ~2 minute response time web chat inside the platform 8-8Est for all users, including student leaders. When there's an error with the file (maybe the query missed someone, or something changed with it) we'll need to communicate and IT will need to adjust. For any bulk reporting, that's included, just communicate with us and we'll deliver.
Timeline - 2-4 months, minimum. Most of this is training/configuration, all on Presence and FSW users. All depends on how long it takes you to get us the file etc. If it's a month, great. If it's 3 months, well that extends the timeline.
Pricing - We're looking for the size of the student body in the file, and what the general average of that is throughout the year. If that's higher than 15,000, we'll requote.
Students get activated and inactivated throughout the term, as the flat files comes in nightly and instructs Presence as to who exists, and who is no longer enrolled (we mark students that leave the file as 'inactive'). Their ability to exist in the platform (have a profile, be in groups, submit things, attend things) is controlled by their Presence in the file. They auth via your SSO. Staff need to be in the file as well, as if they are not, to us they don't exist. Within Presence, admin accounts with varying roles and permissions can be managed by your users. It's a while label SaaS tool, all the processes and operations, workflows and the like, are built on top of the framework provided. Once data is in, we can get to work setting it all up.
