Privacy Statement

FSW related Zoom class sessions, meetings and/or webinars may be audio-visually recorded. Those who participate with their camera engaged or utilize a profile image are agreeing to have their video or image recorded. If you are unwilling to consent to have your profile or video image recorded, be sure to keep your camera off and do not use a profile image. Likewise, those who un-mute during these meetings and participate orally are agreeing to have their voices recorded. If you are not willing to consent to have your voice recorded during Zoom engagements, you will need to keep your mute button activated and communicate exclusively using the "chat" feature, which allows users to type questions and comments live.

IMPORTANT: Certain student, faculty and staff information and privacy are protected by federal, state and other laws. Ensure that your meetings protect participant privacy when recording with Zoom.

 

Security Statement

FSW has made every effort to set the college-wide Zoom meeting and security default settings to prevent unwanted attendance in Zoom meetings, known as “Zoombombing”. Instructors and students are encouraged to adopt the following settings and practices:

  • Only use your FSW Zoom account to create and attend meetings. Log in at https://fsw.zoom.us/ using your FSW username and password. Participants who are not logged into an FSW account will appear as guests.
  • Allow only the host to share the screen. If necessary, allow others to do so on a case-by-case basis during the meeting.
  • Enable waiting rooms. Participants cannot enter the meeting until you “admit” them.
  • Require passwords. Safeguard your meetings by using a password to enter.
  • Participants can be removed. Host can remove any participants that are disruptive.
  • Disable "Join meeting before host". This prevents inappropriate sharing or behavior by participants before your arrival.

  • Consider limiting chat features, like file sharing and active hyperlinks, especially in public meetings.  

  • Restrict meetings to "authenticated users" when meeting with other FSW employees ONLY. This is not recommended for students or when meeting with non-FSW employees.
  • Protect participants privacy when recording by adjusting these settings
    • Disable "Local Recording". Recordings should be kept in the cloud and not downloaded to a local computer. 
    • If you wish to have a video of the speaker recorded during screen sharing, enable "Record active speaker" with shared screen 
    • Disable "Record gallery view with shared screen"
    • Disable "Display participants’ names" in the recording 
    • Enable "Multiple audio notifications of recorded meeting", which plays an automated message whenever a recording is started, or a participant enters a session that is already being recorded.
